Job Description

The Old Vic is seeking a highly organised and adaptable Production Assistant to provide administrative and operational support to its Production team. This is an excellent opportunity to work behind the scenes at one of the world’s most iconic theatres, supporting the delivery of major productions in a fast-paced, creative environment.

You’ll work closely with the Producer, General Manager and Associate General Managers, supporting production administration, contracts, payroll coordination, press activity and day-to-day production operations.

Key Responsibilities

Production & Administration

  • Provide high-quality administrative support to the Production team
  • Arrange meetings, travel, accommodation and itineraries
  • Maintain production files, contact lists and archives
  • Support onboarding and HR paperwork for production staff
  • Coordinate rehearsal, audition and performance logistics

Finance & Contracts

  • Assist with payroll administration for cast, crew and freelancers
  • Process invoices, petty cash and credit card reconciliations
  • Prepare and manage contracts and confidential documentation
  • Maintain and update production budgets

Press, Marketing & Events

  • Support press nights, guest lists and seating plans
  • Liaise with Marketing, Press, Box Office and Events teams
  • Provide approved production information and biographies
  • Attend weekly marketing meetings

General

  • Support wellbeing and pastoral care of cast and creatives
  • Deputise for Associate General Managers when required
  • Attend rehearsals, previews and performances as needed
  • Ensure backstage and production spaces are welcoming and organised

Person Specification

Essential

  • At least 1 year’s experience in a similar role within performing arts
  • Strong interest in theatre and live performance
  • Excellent organisational and time-management skills
  • High attention to detail and confidence handling confidential information
  • Strong communication skills and a collaborative approach
  • Proficiency in Microsoft Word and Excel

Desirable

  • Experience editing contracts and production documentation
  • Familiarity with theatre unions (Equity, BECTU, MU, SOLT, UK Theatre)
